Optimizing Business Visibility and Improvement

The Business Optix product set enables people to collaborate as they develop, review, approve and make use of business models, models that give them the information to better understand and improve the business.

To do this, Business Optix software supports the cycle below to address issues as basic as rapid documentation of business process and as comprehensive as managing a platform of continuous improvement.

Start by describing the basic process in WorkPad – WorkPad is an intuitive desktop workbench that automatically generates diagrams, which include swim lanes, activities, events, and decision points. WorkPad manages the drawing details for you (placement of symbols, definition of lane size, moving connectors when you move boxes, etc.) so you can focus on the content.

Enriching the model… 3-D and more. Commonly used diagramming tools provide a “2-D” diagram view. Business Optix models are business process diagrams…and much more. They capture and store an integrated view of process, people, and technology. The understanding of the business is enriched through capture of: metrics (costs, time), resources (roles, skills), documentation (words, pictures, videos, etc.), systems (what’s used when), locations (where does the activity happen?) and can capture training content for work instruction.

Business Optix Authors enhance their models with documentation that explains the process diagram, as well as information about the document’s governance and structure. Rather than try to manage this documentation through a separate word processing package, WorkPad includes it as an integral model element, saving substantial amounts of time that would be spent in collating multiple files.

Metrics describing resources, costs, time associated with business activities are also captured and managed directly by WorkPad. In fact, a wide range of additional data such as systems, locations, roles, risks, etc. as well as references to existing documentation and processes can be added to enrich the understanding of the business.

Process and much more… these capabilities enable rapid business process documentation. They are just as effective in defining requirements associated with a business service, whether existing or proposed. For each major component of that service, Authors can model the people, the systems, the locations involved and generate documentation on the requirements and proposed costs to meet those requirements.

Reuse prior work… Business Optix Authors with an extensive library of existing process models make use of our converters to import their diagrams from a range of popular formats, including Visio.

Configure the input to your needs. While the range of data that WorkPad models capture is robust “out-of-the-box”, clients can easily enhance what is captured so that the model accurately reflects their business requirements. As both the WorkPad interface and the underlying model are described in XML, it’s easy and quick to configure additional slots that capture information unique to your organization. Clients use this for items ranging from addition of corporate-specific data fields, ranging from e.g., risk levels, exposure and mitigation status, to implementation of frameworks that reflect an outsourcer’s client engagement and improvement delivery methodology.

Prioritize and Decide

Candidate identification – Business Optix Authors build up a comprehensive view of the various layers that make their business tick. Having streamlined the work of data capture (processes, costs, resources, time, systems, etc.), WorkPad models contain the data needed to understand and improve the business. The Transformation facility provides built-in “scenario” analysis for quantifying and sizing potential opportunities for change. Simply identify possible areas to drop or change, e.g. outsource to a shared service, and output change candidate metrics to the Excel-based Transformation package to evaluate potential impacts. Once candidate business activities are selected for re-engineering, Business Optix supports high-velocity development of comprehensive target operating models.

Integration with specialized analysis packages – WorkPad stores data in an agnostic format that can be fed to (and returned from) generally available analysis packages, such as Aris, iGrafx and Corporate Modeller. Engineered for deep-dive investigation, highly-trained analysts employ these packages to effect process analysis, refinement and optimization. Because Business Optix compresses the time it takes to capture the data that documents and quantifies business processes, it accelerates the ability to get an informed view of the overall business. In the course of that mapping, it’s able to identify the select percentage of legitimate optimization opportunities. The result is synergistic, feeding the high-end packages more opportunities for analysis while rapidly documenting the rest of the estate.

Act and Transform

Documentation – offline, online… your choice. Good systems executed by good people is essential to business success. Whether it’s realignment of sales channels, consolidation of services, or outsourcing of business operations, successful project implementation depends on people’s understanding of both the processes and their associated roles & responsibilities (and consequences), documentation alone of the business practice has limited value if it winds up living on a shelf. Business Optix makes publication straightforward and simple, enabling clients to distribute knowledge where it’s needed.

When you need to be sure that information is read… and understood. Business Optix supports in-model development of LMS (Learning Management System) content. And output to cloud-based LMS delivery environments. LMS user ensure that the organization has auditable record that the information has been read, and to what extent it has been understood. This is extremely valuable for organizations which experience changes in staff, permanent or temporary, over time; as well as for organizations which must demonstrate organizational compliance with various regulations. And just as with the other Business Optix publication mechanisms, output from the business model to LMS output is simple and straightforward, delivering high value for a low incremental cost.

When automation makes sense… output to workflow and BPM engines. Designed by the same people who built major BPM platforms, Business Optix software is designed to work effectively within the business process eco-system. WorkPad is based on a flexible interchange format (XML) which enables it to support intelligent round-tripping with a range of execution engines. Changes made to the process in the course of implementation within an IT environment can be re-imported into the business process definition, ensuring that there is no disconnect between the business and IT – and that the documentation and the real-world processes always match.

Measure and Adapt

Measured results – As the project team’s activity builds, it’s imperative to be able to step back from the front-line occasionally to assess progress and impact. To be able to answer questions such as “what percentage of the transition work we expected to have completed by now is complete”, “which portions of the organization have begun to adopt change; which have not”, “what’s left for me to understand the cost and resource components of target outsourcing candidates”, and “what results have we seen for our investment”. Business Optix dashboards access databases structured to capture information on programme progress and to provide insight into your initiative.

Adapting in the face of change – As processes designed in WorkPad meet the realities of integration and deployment, ideas that seemed “right at the time” will benefit from reality-tailored improvements and from encountering the constraints of system implementation. For example, variations in anticipated level of resource use by customers could severely impact client wait time and therefore damage the planned customer experience. As hotspots develop and are pinpointed, response mechanisms can be designed and communicated for implementation. Modifications made within the relevant departments can be consolidated easily into the WorkPad Library – without losing improvements made in either environment.

Change control and governance – To ensure that change to established policy is both financially justified and is subject to appropriate sign-off, the Business Optix Library supports a workflow-controlled approach to change governance. Proposed changes are directed through the sign-off chain of command by a workflow which engages people at the appropriate point and provides them with Library access to effected models. For each business model specified owners, stakeholders, reviewers and approvers can participate in ensuring that beneficial change is reviewed and enacted smoothly.
